Geosyntec has an exciting opportunity for an HR Compliance Analyst in our corporate Boca Raton, FL office. The position plays an integral role in ensuring detailed, timely and legally compliant tracking, reporting, researching, auditing, administration and overall management of assigned global HR compliance areas including but not limited to workers compensation, pay equity/transparency, affirmative action, immigration, drug/background screening programs, and HR compliance reviews of local and national employment laws and regulatory government contractor compliance. The position partners with corporate and local stakeholders across the company to implement or update company policies and processes and requires initiative, strong analytical and detail orientation skills, and the ability to uphold global HR regulatory standards across the company.

Essential Duties and Responsibilities

Global HR Compliance:

  • Monitor, track and review HR compliance regulations including regulatory compliance to ensure company standards and practices remain aligned with local, national and government regulated requirements during hiring and employment processes.
  • Assist with ongoing research and review of local, national and government regulated mandates and postings including but not limited to annual postings, employee notifications, state leave and other laws, and communicate changes to HR stakeholders to maintain global HR compliance.
  • Assist with HR compliance policy/procedure/regulation reviews and updates, such as but not limited to Pay Equity and Transparency, pay reporting, affirmative action, EEO, and federal contractor compliance, including communications to internal stake holders and scheduling follow-up actions as needed.
  • Research laws and processes for areas of responsibility to establish processes for new countries of operation in collaboration with global HR, H&S, Branch Management, and other internal partners.
  • Assist with and provide recommendations for HR compliance handbook updates based on compliance reviews.
  • Manage the completion and filing of periodic reporting requirements such as EEO-1, VET-4212, CA Pay Data Reporting, and other regulatory reporting with government agencies. Look for ways to improve reporting and make analysis more efficient using available internal and external databases.
  • Learn and serve as back-up for HR Compliance Coordinator for drug/background check processes. Assist with client Master Service Agreement (MSA) reviews and recommendations for compliance with internal Drug-free Workplace policy and varied client-driven drug and background programs.
  • Collaborate with internal HR and other Stakeholders to respond to compliance questions surrounding the company’s or our client’s drug screening and/or background check processes and policies.
  • Track employee compliance training completions and escalate compliance as needed.
  • As needed, assist with annual compilation, review and analysis of AAP data to help communicate results and goals to Leadership..
  • As needed, assist with immigration compliance matters such as I-9/E-Verify reviews and updates, global Right-to-Work checks, auditing immigration records, global mobility needs, immigration repayment agreements, and related expense tracking and invoice processing.

Global Workers Comp (WC):

  • Full-cycle management of U.S. WC practices, from filing to managing notice only and medical claims and collaborating with employees, managers, insurance adjusters, government entities, medical facilities, legal, etc.; assist with research of global WC practices and claims filings, as needed.
  • Ensure accurate and timely reporting and follow-up on WC claims, within country-specific laws and requirements including ongoing communications for updates to work restrictions, return to duty status, etc., to internal stakeholders.
  • Partner with H&S and Legal as the HR point of contact for employees with WC medical claims; and engage additional HR teams as needed for leave, pay, or performance information.
  • Assist with research and development of processes and procedures for global WC practices in coordination with HR and H&S Stakeholders and Branch Managers.

Other Miscellaneous:

  • Compile, customize, and process HR compliance reports for various internal and external stakeholders, as assigned.
  • Assist with maintenance of related HR SharePoint sites.
  • Continually identify opportunities for improving processes, tools and efficiencies in assigned HR compliance areas, maintaining and creating related procedures, as necessary.
  • Assist with other HR compliance projects and related duties of varying complexity and confidentiality, as assigned.

Skills, Experience and Qualifications

  • Bachelor’s degree and at least 2 years of related experience; or over 6 years of relevant experience supplemented by coursework in field; combination of education, experience, and training that provides the knowledge, skills and abilities to perform the responsibilities of the position.   • Strong knowledge of HR and employment practices including HR compliance concepts and procedures. (required)
  • Experience with employment law research, review and analysis. (required)
  • Experience managing full-cycle U.S. Workers Comp claims processes with internal and external stakeholders. (preferred)
  • Experience with federal compliance reporting such as EEO-1, VEVRAA, CA Pay Data, etc. (preferred)
  • Strong proficiency with MS Office software including Outlook, Word, Excel (including formatting, formulas, v-lookups, etc.) and PowerPoint. (required)
  • Experience working with HR Information Systems (HRIS), Applicant Tracking Systems (ATS), and screening vendor platforms.  (required)
  • Proven attention to detail, time management, multi-tasking, and organizational skills. (required)
